🇧🇪
The team at Elefantly Collective would like to present its in-depth experience in website development, search engine optimization (SEO), user experience (UX), and mobile strategy to partner with SITE in its endeavors to build and maintain a more comprehensive, user-friendly website. We believe we are eligible for both contracts. Elefantly Collective presents this proposal for all three missions due to the importance of maintaining a seamless relationship between the initial redesign/rebuild and the long-term maintenance of the website.
We are enthused to have an opportunity supporting the new website and digital strategy for SITE. Our goal is to provide SITE with the latest trends and techniques to improve the functionality of the website and ultimately coincide with the visual and strategic direction of the brand and organization.
The Elefantly Collective launched in San Francisco, the hot bed destination for tech and digital marketing. We were constantly surrounded by rising unicorn startups in Silicon Valley – digital strategy is our thing.

The SITE website has two separate areas – one that is visible to public non-members who visit the site and one that is only visible to members who have an active membership. Only members have access to the more enhanced web pages that can only be seen after logging in.
⊕ The current SITE website mainly serves as an administrative area for members and chapter leaders to access certain documents and logos, etc.
⊕ The digital strategy and direction of the new website should align with SITE’s overall strategies and objectives to attract members from the following core audiences – membership, the business events industry, the business / corporate world, and society at large.
⊕ The digital user experience should highlight SITE’s information and member services, including items that may be for sale.Â
⊕ The current website lacks technical functionality, speedy load times and complete integration of online services.
SITE’s target audience is ever changing and the direction of the new website must accommodate, attract and engage all relevant groups and personas. It’s important that the new website is super versatile to address the expectations of all groups.
⊕ Sometimes the current level of integration between the SITE website and business apps forces users to enter information twice and the site is generally inefficient.
⊕ With the current website, users are struggling to easily find the information they need.
⊕ The main SITE website should be in sync with the Motivate website and social media websites.
⊕ The current website is dated in terms of the latest digital strategy trends, search engine optimization standards and mobile device standards.
⊕ SITE is seeking a recommendation for a platform solution to accommodate association and membership management needs, including e-commerce.
M1: Online Strategy
we possess the relevant skill set for mission #1:
1.1 Preliminary audit
1.2 Best Practices & Zero Measurement
1.3 Elaboration of the digital strategy of the Contracting Authority
1.4 Development of the architecture and the wireframe of the new SITE website
1.5 Validation of the proposed courses, user testing
1.6 Elaboration of the specifications of the new SITE website
⊕ the elefantly solution:
We would conduct a preliminary audit and analysis of the current website architecture in order to understand the overall flow of the website. We would like to outline the strengths, weaknesses and most importantly, opportunities. We would like to discuss the website in relation to social media platforms including the Motivate website, business applications and online communication tools, to ultimately create a refined, targeted strategy to reach the right groups and personas for SITE.
When we create websites, we adhere to design principles for both desktop and mobile, so the user can reach their desired webpage with as few clicks as possible. We follow the guidelines of conceptual web design by focusing on usability and user experience. We do this by using simplicity, graphic fonts, beautiful color schemes, as well as smart navigation pinpoints based on psychology. We stay consistent throughout to provide the user with familiarity while visiting the website. We ensure our websites provide credibility for the organization, always keeping the user thought process in mind. User experience (UX) is at the forefront of our design mentality.
Before the website launch, we will schedule ongoing user testing to prove full optimization of the website, and make recommendations based on the latest tech trends.
After reviewing the current SITE website, we have interesting ideas to increase engagement. For example, we could incorporate a chat system inside the website for 24/7 support (if it exists!). We use other third party platforms such as social media sites for direct messaging in order to decrease the response time for user communication. We know it’s a global organization with all time zones and members expect immediate responses.
In mission 1, we would also take the opportunity to choreograph the website visuals to design an appealing look for SITE.
We noticed the SITE website is not mobile friendly, which is a huge component of our services. We build mobile versions of websites with lightning fast speed! Using AMP technology, the content pages load in seconds on mobile devices, 7 times faster than if you don’t adopt it. AMP boosts Google searches and Google rank. Basically, users get to the website super quickly, and stay more engaged because the pages load quickly. AMP is a game changer for mobile.
M2: Operator Selection
we possess the relevant skill set for mission #2:
2.1 Support of the Contracting Authority for the selection of the agency that will be responsible for the development of the site.
2.2 Follow-up of the realization of the website by the chosen agency
⊕ the elefantly solution:
We recommend hiring the Elefantly Collective for the entirety of the project so we can understand the vision from the beginning and see it through to the end.
In addition to contract number one, Elefantly Collective is bidding on contract number 2. We believe it is very important to hire the same web agency for all three missions in order to ensure seamless delivery of the new website. If the same web agency is used from start to finish, then there is more continuity and the same team is building the vision all along. Sometimes, when one group of website developers begins a project and a second group of website developers takes over, there is loss of momentum and information.
For example, we were recently hired to take over the website design/build for a New York City-based wellness brand called Movita Organics. During the transition from the original developers to Elefantly Collective, the original developers continued to edit the website code, causing visual and technical errors on the front-end of the website. Plus, we lost a few days of work waiting for complete access to the website, and it would have been better if we owned the project from the beginning. This way, we could have laid the framework and executed accordingly.
We embrace a collaborative work environment and enjoy working with all parties involved in website development and design. In the past, we have been involved in selection processes for third party agencies to find the one most compatible for the given project. We also embrace all online platforms to give brands a beautiful and engaging online presence.
M3: Analysis & Benchmarking
we possess the relevant skill set for mission #3:
3.1 Ongoing analysis and benchmarking
⊕ the elefantly solution:
As a best practice, we provide clients with ongoing maintenance after launching the new or rebranded website. We create side-by-side comparisons based on performance and design to ensure your website is operating at the highest level possible at all times.
The Elefantly Collective team would conduct regular benchmarking analyses to monitor SITE’s online presence in comparison with other similar associations. We wouldn’t let SITE’s competitors have a better website!
We have experience testing various platforms in preparation for website launches. We have created unique user experience briefs specific to our clients. One of the main functions of online strategy includes constantly testing performance and speed on all platforms. This includes optimization of all images, icons and graphics, as well as monitoring design elements that could potentially slow down the site.
Finally, being familiar with the incentive travel industry in the U.S. and Europe, we would like to be involved in comparing the SITE website to other associations such as MPI or ILEA.
clients.
